Where to put your BOOKYO link and email

Both land in the same inbox and get answered in seconds. The only question is which one to use where: the link for anything tappable, the email for anything formal.

Already have your link and email? Everything below takes about fifteen minutes.

Where to find them

Both are in your dashboard under Channels: the chat link (a /chat/... URL) and your BOOKYO email (something@in.bookyo.com.au). Your QR code is there too — you can download or print it. Copy them from there — do not retype them by hand.

Your chat link — tap to open

Use this wherever someone would tap on a phone. It opens a conversation directly, no forms.

Google Business Profile → booking / appointment link

At business.google.com pick your business and look for the Bookings field (some accounts show it under Contact or Edit profile). Paste the link and submit.

Google reviews appointment links — allow a day or two. Nothing shows until it is approved, so do not assume it failed.

Instagram → Edit profile → Website

Paste the link in the Website field and add one line in the bio saying what it does, for example: Book in → (link below).

Instagram's own Book now button is only for their official partners — do not wait for it. The Website field is the one that works.

Facebook page → action button

Set the page button to Send message so people start a chat without leaving Facebook, and put the link in the Website field too.

Both are free and need no approval.

Your website

Either the floating chat bubble or a plain button that goes to the chat link. Both point at the same inbox.

QR code — already made for you

We build a QR code for your chat link as soon as the channel exists. Open your dashboard home → Your channels → click the QR code: you can look at it, Download PNG, or Print it. No third-party generator needed.

The print layout also puts your link in large text under the code, so it still works if a customer's camera will not read it. Scan it once yourself before you print a hundred.

Your BOOKYO email — copy and paste

Use this where an address looks more at home than a URL: signatures, invoices, contact pages. A reply lands in the same inbox the assistant answers.

Email signature

Make your BOOKYO address the reply-to on every mail you send — one line under your name in Gmail, Outlook, or wherever you answer.

Quotes and invoices

Send them from the BOOKYO address so the client's reply reaches the assistant instead of your personal inbox.

Still using a personal address? Point replies at the BOOKYO one, or forward it — otherwise those replies are the ones that go unanswered.

Your website contact page

Turn the address into a mailto link where a phone number used to be. Keep the chat link as well — they suit different people.

Facebook page → Contact and basic info → Email

The email field on a Facebook page is public and it is where people look for a business address. Use the BOOKYO one, not a personal Gmail.

Business card, flyer, van

Print the email as text and the link as a QR code: people copy addresses, and they tap links.

Your existing clients

Tell regulars the new address once, and send that first mail from it so it lands in their contacts under your business name.

Where not to expect it to appear

Google Business Profile does not publish an email address for most categories. Do not wait for it to show up there — the booking link and your website cover that spot.

Where not to put either

  • Unsolicited DMs and group blasts — under Australian spam law (Spam Act 2003) you need consent and an easy opt-out.
  • Groups whose rules ban links or self-promotion. Read the rules first: getting removed costs you the audience you wanted.
  • Fake accounts or replies pretending to be a happy customer.
  • Plain-text email addresses in public bios — scrapers harvest them. Put the link there instead.
  • Anything you cannot update later. If it is printed, be sure it will still exist when you are booked out.

Fifteen-minute checklist

  1. 1Send one test message through the chat link from your own phone.
  2. 2Send one test email to your BOOKYO address and confirm a reply comes back.
  3. 3Paste the link into your Google Business Profile and submit for review.
  4. 4Add the email to your signature, invoices and Facebook page contact info.
  5. 5Download or print our QR code (dashboard → Your channels) for the card, the van or the counter.
